What it does

Job sheets completed on site, signed and sent before you leave

In Gafferly the engineer completes the job on their phone: they write up the work done, log parts, add photos and get the customer to sign on screen. The customer is then sent a branded job sheet, a web page they can print to PDF. It works with no signal and syncs when the engineer reconnects. It is on every plan from £29 per user per month.

Work done, in words or by voice

Type what was done, or tap the mic and describe it. A Draft report button turns rough notes plus the job details and parts into a clean customer-friendly write-up. Nothing is saved until the engineer has read it and chosen to apply it.

What the sheet actually contains

Your logo and phone number, the job reference, customer and address, the engineer's name, the job title, the work carried out, any parts with quantities and prices, up to eight photos, and the customer's signature with their name and the time they signed.

Signed on the customer's own screen

The customer signs with a finger on the engineer's phone before the job is closed. There is no paper copy to scan or lose.

Finished with no signal

Completing and signing, notes, photos and voice recordings are held on the phone when there is no reception and sent when it returns, so a loft or a basement does not leave a job half done.

How it works

  1. Open the job on the phone and log the parts and photos as you work
  2. In Complete the job, write or dictate what was done, or tap Draft report
  3. Read the draft and correct it
  4. Hand the phone over for the customer's signature
  5. Tap complete and the customer gets the job sheet, and the office can raise the invoice

What it does not do

  • The job sheet is a single standard layout. You cannot rearrange its sections. For a checklist or test sheet with your own fields, build a form in the form builder and attach it to the job type.
  • Parts appear on the customer's job sheet with their prices and a parts total. If you do not want customers to see parts pricing, that is worth knowing before you roll it out.
  • Only the first eight photos on a job show on the sheet. All of them stay on the job record.
  • The AI report is a draft. It works from the notes, job details and parts it is given, and the engineer must read and correct it before finishing. Voice has an allowance of 120 minutes per user per month.
  • The sheet is a web page the customer opens by link, with a print button for saving it as PDF. It is not a separate emailed PDF attachment.

Common questions

What is a digital job sheet?

A digital job sheet is the record of a visit completed on a phone instead of paper: what was done, what parts were used, photos, and the customer's signature, all stored against the job and sent to the customer. It replaces the carbon-copy pad, and means the office has the evidence the same day rather than when the pad gets handed in.

Does the job sheet app work offline?

Yes. The job can be completed and signed with no signal, and photos and voice recordings taken without reception are held on the phone and uploaded when it reconnects. Sending the sheet to the customer and the office seeing it happens once the phone is back online.

Can the customer see the job sheet afterwards?

Yes. They get a link to a branded page with the sheet on, which they can print or save as PDF. If you have switched on the customer portal for them, their completed jobs also appear there.

Can I use my own job card layout?

Not for the job sheet itself, which is one standard layout. What you can do is build your own checklist or form, with pass and fail, readings, photos and signatures, make it compulsory on a job type and have the engineer fill it in alongside completing the job.
