F-Gas records that stay with the equipment

F-Gas leak check intervals are set by the refrigerant charge in CO2 equivalent, not by a fixed annual date, so one site can carry three different clocks. Gafferly holds the record against the individual piece of equipment rather than the customer or the engineer, which is where an F-Gas logbook actually needs to live. The logbook itself is built in the form builder, it is not a supplied document.

The record follows the equipment

Charge, gas added, leak check results and who did the work sit on the asset, so a full history is one screen rather than three engineers' job sheets from different years.

A different interval per unit on the same site

Set the visit schedule per piece of equipment. A freezer pack and a bottle cooler are not on the same clock and never will be.

The post-repair check does not get lost

A repair starts a fresh short-notice verification. Book it on the job at the time rather than hoping the recurring schedule catches it, because it will not.

Your own logbook fields

Build the record with the fields you actually use, make it compulsory before the job closes, and attach photos and a signature.

How it works

  1. Add the equipment against the site, with its refrigerant and charge
  2. Set the leak check interval for that unit
  3. Build your F-Gas logbook once in the form builder
  4. The engineer completes it on site, with photos and a signature
  5. The record stays on the asset, and the next check comes up on its own

What it does not do

  • Gafferly does not ship an F-Gas logbook as a built-in document. CP12 and EICR are the only two built-in certificates. This is form builder work.
  • It does not calculate CO2 equivalent from refrigerant type and charge, and it does not work out your leak check interval. You set the schedule, it holds it and reminds you.
  • It does not track refrigerant cylinders as stock. There is no inventory or stock control in Gafferly.
  • TM44 air conditioning inspections are lodged on a government register by an accredited assessor and have nothing to do with us.

Common questions

How often does F-Gas equipment need a leak check?

It depends on the charge measured in CO2 equivalent, not on the calendar. Under Article 4 of assimilated Regulation (EU) 517/2014, equipment containing 5 tonnes of CO2 equivalent or more but less than 50 must be checked at least every 12 months. From 50 tonnes to less than 500, at least every six months. At 500 tonnes or more, at least every three months. Where a leakage detection system is installed, each of those intervals is halved in frequency, so they become 24 months, 12 months and six months respectively.

Why does one site have several different leak check dates?

Because the interval is set per piece of equipment by its own charge, not per property. A large VRF system and a single split in the same building can sit in different bands, and a unit below 5 tonnes CO2 equivalent does not require a scheduled check at all. That is why an F-Gas record kept against the customer rather than the asset stops being useful the moment a site has more than one machine.

Does Gafferly work out my CO2 equivalent for me?

No. You know your refrigerant and your charge, and the arithmetic is yours or your certification body's. Gafferly holds the record and the schedule you set. Software that guessed at a compliance interval on your behalf would be a liability rather than a help.
