What it does

A branded login where your customers see their own quotes and invoices

Gafferly's customer portal is a private, branded login where a customer can review and accept quotes, pay invoices, see their jobs and history, open their certificates and download receipts, request a callback or a new job, and update their own contact details. You switch it on per customer by setting a password. It is on every plan and customers only ever see their own records.

Quotes and invoices in one place

The portal lists quotes waiting to be accepted, with a review and accept button, and invoices to pay, with a pay now button. Settled invoices move to a payment history with receipts.

Jobs, certificates and reports on record

Customers see their upcoming and completed jobs. Any CP12 or EICR you issued, and completed form reports, are listed for them to open, so they stop ringing you for a copy.

Requests land with the office

A customer can ask for a callback or a new job from a short form. It is recorded against their account and the office picks it up.

Your branding, their records only

The portal carries your logo, colour and contact details. A customer signs in with their email and the password you set, and sees only their own records.

How it works

  1. Open the customer's page and find the Customer portal card
  2. Switch it on and set a password
  3. Copy the portal login link and send it to the customer along with the password
  4. They sign in, accept quotes, pay invoices and open their certificates
  5. Their requests arrive with the office, and you can reset or switch off access any time

What it does not do

  • It is off by default and switched on one customer at a time. There is no self-registration, a customer cannot create their own portal account.
  • You set the password, and the customer signs in with the email address held on their record. Customers with no email on file cannot log in.
  • Customers cannot edit jobs, change prices or book directly into your diary. They can send a callback or new-job request, and you decide what to do with it.
  • Customers can update their own name, phone and email but not their site addresses or billing details.
  • If your own Gafferly subscription lapses, the portal shows an unavailable message to customers until it is sorted.

Common questions

What is a customer portal for a trades business?

It is a private login where your customers can look after themselves instead of ringing you: see their quotes and accept them, pay invoices, open certificates and job history, and ask for a callback. For landlords, letting agents and commercial customers with several properties it is the difference between a phone call and a link.

How do I give a customer access?

On the customer's page, open the Customer portal card, switch it on and set a password. Then send them the login link and the password. Setting a new password signs out any session they already had, and switching the portal off blocks them from signing in.

Can customers pay invoices in the portal?

Yes. Invoices that are sent, viewed, part paid or overdue show a pay now button, and paid ones move into a payment history with a receipt to download. Card payments go through your own connected Stripe account.

Does the customer portal cost extra?

No. It is included on Solo, Crew and Fleet, at £29, £49 and £79 per user per month with no VAT added.
