Invoices & getting paid

Create invoices, take card and bank payments, deposits, chasers, write-offs and Xero.

Invoices can be created from a job or an accepted quote, with the VAT and numbering you set in company details. If the customer picked optional extras when accepting, they're already on the invoice.

Getting paid

  • Send the invoice and the customer pays online: by card through your own Stripe account, or by bank transfer using the bank details you've added (they report the transfer and you confirm it when it lands).
  • Handle deposits and partial payments, the status moves through sent, viewed, part paid and paid.
  • Want overdue invoices chased for you? Switch on Auto-chase overdue invoices in Settings → Follow-ups and pick the days (Crew plan and above).

Agreed short payments

If you agree to settle for less than the full amount, use the Write off £X balance button on the invoice (it shows once a payment is recorded and something is still outstanding). The remainder is recorded as a write-off with your name and reason, the invoice settles at what was actually paid, and the job closes properly instead of hanging around as "unpaid".

Accounting

Connect Xero in Settings → Payments and invoices push across as you send them, with the payments you record pushed to Xero too. Write-offs mirror as well: Gafferly raises a matching credit note in Xero so your books agree with your CRM without any manual entry.
