Using voice
Talk instead of typing: notes, job wrap-ups, checklists and quotes from the mic button.

Anywhere you see the mic button, you can talk instead of type. Tap it, speak, tap again to stop, and Gafferly writes down what you said for you to check and edit. Nothing is saved or sent until you confirm it, you always get the final look.
Where the mic is
- Notes boxes: job notes, customer and site notes, and the work-done report when you complete a job. What you say is typed into the box at the cursor.
- Job wrap-up: on the job page, describe what you did in one go. Gafferly drafts the completion report, parts used, time on site, follow-up work and internal notes, then shows you a review screen. Parts and quotes stay unticked until you choose them, and nothing is saved until you tap Apply.
- Checklists: on a form, speak your answers and Gafferly fills the matching questions. Anything it is unsure about is left blank and highlighted, never guessed.
- Quotes: in the office, describe the job on a new quote and Gafferly drafts the lines for you to review and price. It never sends anything by itself.
Any language works
Speak whatever language is comfortable, including mixing languages mid-sentence. Everything Gafferly writes comes out in English, so the office and the customer always read the same tidy text.
Recording time and your allowance
Every account includes 120 minutes of voice per user each month, and the meter in Settings → Payments shows how much the team has used. If you go over, voice keeps working and the allowance resets on the 1st, there is nothing to pay today.
Your recordings
Audio is kept for 30 days and then deleted automatically. The written text it produced stays on the job or customer record.
Tips for a clean transcript
- Hold the phone close and speak at a normal pace, a van cab or a quiet corner beats a windy roof.
- Say part names and quantities clearly: "used two 22 mil elbows and one pump valve" gives the wrap-up and quote drafter exactly what they need.
- If the transcript looks wrong, just edit the text before you save. The mic is a head start, not the final word.
- No signal? Record anyway. The recording is saved on your phone and transcribes itself when you are back online. Offline voice notes on a job are added to the job as a staff note, while offline voice notes on customers and sites are kept on the recording.
