Your AI phone assistant
An AI assistant that answers the calls you miss: what it does, what it never does, recording, forwarding your number, pricing, and switching it off.
Last updated 11 October 2026
The AI phone assistant answers calls to your dedicated Gafferly number when nobody on the team picks up, so a missed call stops being a missed job.
What it does
- Answers in your company name and always says up front that it is an AI assistant and the call is recorded.
- In working hours your mobile rings first (you choose 10 to 40 seconds); the assistant answers only if you don't. Out of hours it answers straight away.
- For known customers it can check job status and rough ETAs. For anyone it can take a detailed message, and the office gets a notification for every call it handles.
- If the caller asks for a person in working hours it transfers the call to your mobile. Out of hours it takes a message and texts your on-call number.
- Every call lands on the customer record and in Messages as a Call entry with a summary, the transcript and the audio. Calls from numbers it can't match are flagged for the office to place.
What it never does
- It never takes card or bank details over the phone.
- It never quotes a price except "from" prices from your own price book.
- It never promises a time the diary does not have.
Emergencies
Safety comes first, before anything else. A caller who mentions a gas smell is told to call the National Gas Emergency Service on 0800 111 999 straight away. Carbon monoxide: get outside into fresh air, call 0800 111 999 and seek medical help. Electrical danger: keep clear and do not touch anything, call 105 for a power cut or damaged supply. If anyone is hurt or in immediate danger: 999. Your on-call number is texted about every emergency call.
Recording and retention
Every call the assistant handles is recorded, and the caller is told so at the start. The audio is kept for 30 days and then deleted automatically; the transcript and summary are kept on the customer record.
Keeping your existing number
You don't have to give out a new number. Set "forward when busy or no answer" on your existing phone to your dedicated Gafferly number (shown on Settings → Phone), and calls you miss roll over to the assistant. On many UK mobiles you dial a short code, replacing the number part with your Gafferly number:
**61*<number>#to forward when there's no answer**67*<number>#to forward when busy
Codes vary by network, so check the exact codes with your provider, or ask them to set it up for you.
Pricing
£29 a month per firm, including 150 minutes of assistant time each month, then 15p a minute. The add-on sits on your Gafferly subscription while the assistant is on and is removed when you switch it off. Settings → Phone shows this month's usage.
Switching it off
Go to Settings → Phone and untick Answer unanswered calls with the AI assistant, then save. The subscription add-on is removed at the same time, and missed calls go to voicemail instead.
